Who can contribute to the platform?
Anyone who has been a fellow, member of the team, overnight visitor, guest, spouse, intern or resident at Villa Medici is invited to upload their images to the collaborative platform.
Can I contribute anonymously to the platform?
If you do not wish your name to be associated with the images published, you can register with a pseudonym and publish your images under this identity. However, your name must be known to the Album administrators in order to respect image rights.
How can I contribute to the platform?
To publish your images, you need to create an account in the “My images” tab. You can then publish your images and videos from this personal space. You can upload several documents at once, and you will then be asked to fill in a certain amount of information for each document (date, comments, personalities represented, etc.).

Are there any particular guidelines (interest, quality, quantity) for publishing images?
You can upload as many images as you like, whatever their aesthetic quality (pixilation, framing, colouring, etc.). You can submit not only photographs, videos and sound recordings, but also documents in image format (posters, letters, menus, programmes, etc.).
I can't upload my images to the platform.

I have lots of images to share on the platform.
You can send us your entire collection by email to album@villamedici.it. In this case, you accept our General Terms and Conditions of Use and assign to the French Academy in Rome, free of charge and non-exclusively, the right of representation and reproduction of the images, on the platform or on its website, and for the duration of the intellectual property rights as they exist in the country of uploading and in all countries where the Platform may be consulted.
MY PROFILE
I can't log in even though my account has been created. Is this normal?
If your registration does not seem to have been taken into account, please contact album@villamedici.it.
MANAGE MY IMAGES
I have uploaded my images but they are not yet published on the platform. Is this normal?
Uploaded images are subject to moderation before being visible on the public platform.
You can check the validation status of your images in your personal space under the “My images” tab. You will receive an email notification when your images have been validated and published on the public platform.
What are the conditions for uploading images to the platform?
Images published on the platform are subject to moderation before publication. They may not be put online if they are likely to harm the people in the images (nudity, image rights of the people represented), if they constitute behaviour likely to breach the Academy's rules, if the Academy receives a request to withdraw the image from the people in the image or from the holder of the copyright for the image, or if the images are redundant with documents already online in the Album.
For the same reasons, they may also be withdrawn after publication.
In all cases, withdrawn images will be kept and archived by the Academy.
Is it possible to delete or modify images once they have been published?
Yes, you can delete or modify your images directly by logging into your personal space in the “My images” tab.
In what format are images submitted for publication?
Photograph: JPG or PNG file
Video: MP4 file
Sound: MP3
Weight limit for each file: 500MB
COPYRIGHT AND IMAGE RIGHTS
Do I need the consent of the people in the document to publish it?
Yes, each image published is subject to the image rights of the persons represented. When you publish your images, you guarantee that you have asked these people for permission to communicate and display them on the platform and that the films or photographs have not been taken without their knowledge, or are likely to constitute a violation of their privacy.
The media published may be made unavailable for consultation in the event of a request for removal made by one of the persons featured in the image.
Can an image published without our agreement be removed?
Yes, if media representing you has been published without your consent or if you hold copyright over the image, you can write to us at the following address: album@villamedici.it.
Can we publish images taken by another person?
Yes, but only with the author's agreement or for images for which you hold sufficient rights for the documents to be published online. When you put the images online, you will need to fill in the "Photo credit" tab with the name of the author of the image.
You can also entrust us with your images and documents without sharing them with the public for reasons of copyright, representation rights or confidentiality. In this case, please contact us at album@villamedici.it after uploading your files.
Does the Academy own the rights to the documents uploaded?
When uploading media to the platform, you agree to transfer, free of charge and non-exclusively, the right to represent and reproduce images and texts related to the French Academy in Rome on the platform or on its website and for the duration of intellectual property rights as they exist in the country of uploading and in all countries where the platform may be consulted.
You guarantee the French Academy in Rome a peaceful use of the documents uploaded.
